POP3

POP3 should typically be used when you are connecting to email using only 1 device

Post office protocol (also called POP) downloads email directly to your computer. When this happens, the mail is deleted from the server. This process prevents you from reading the same email messages again when you access your mail from another computer. The benefit of POP mail is since messages are downloaded directly to your computer, you can read them even if you aren't connected to the internet.

What are the Advantages and Disadvantages of POP3?

Advantages

  • Your email's are stored on your computer.
  • Unlikely to run out of server space as email's are deleted from it once you have downloaded them.
  • Consolidation of many email accounts and servers to deliver to one inbox.

Disadvantages

  • No copy of the emails stored on the server.
  • Can't use it efficiently synchronize email between different device (for example, your smartphone and computer).
  • Mail is stored in one place only.
  • When downloaded mail takes up space on your computers hard drive.



IMAP

IMAP should typically be used when you are connecting to email using multiple devices.

Internet Message Access Protocol, also known as "IMAP". The email messages are stored on the server. For example, if you send a message from work, when you open your email account at home, it will still be on the server. When using this technology, there aren't any copies of the messages stored on your computer (unless you do something special to copy them). The email messages reside on the server. Many internet providers don't support IMAP.

What are the Advantages and Disadvantages of IMAP?

Advantages

  • Available from any computer.
  • No data loss risk if something happens to your computer as email is stored on the server.
  • No email client needed on your computer, You can access your mail directly from the web.
  • Server-side filters makes sorting emails easy (business from personal etc).
  • Your mail is synchronized between the computers you access it with and the server.

Disadvantages

  • You must be connected to the internet to access your email.
  • Large quantities of mail can be costly to store on servers.
